Overview

DataXchange can be configured to send an email, text, or Microsoft Teams message based on results of expressions. Messaging templates are created independently, assigned to a group of users or Teams channels, then assigned as a target for an expression. When the expression evaluates to True a message will be sent.

Message Templates

Message templates are universal, so they can be used by any DataXchange service in the system as well as by any equipment. Templates can be created with the variables that are used in expressions allowing the template to be dynamic and contain information such as downtime codes and equipment names.

Templates are created by pressing the Messaging → Templates button in the Template group on the DataXchange tab. To create a new template press the Add button and specify a name for the Template. Once the cursor has been placed in the Subject or the Body sections the buttons in the toolbar become enabled allowing variables to be used in the email if desired. Press the Enter button to save the template.

Message Assignments

Once a template is created, users must be assigned to it. This is done with the Messaging → Assignments form. Create a new assignment and select your template, then assign the desired users to whom the email should be sent. When defining Users they can have two email addresses assigned to them, a company based email and an external email. If both have been assigned then two email addresses will be appear for the user in the list.

To send a Microsoft Teams message, select a Message Type of Microsoft Teams. Choose the Connector for the Team to which you would like to send the message. If the desired Team does not show in the list, the DataXchange Connector will need to be created in Teams. More Information

When configuring the Communication Information for equipment a Target Type of Email must be added for emails to be sent. The Microsoft Teams Target must be assigned to the Equipment for Teams Messages to be sent. This is usually done automatically.

The next step is to create an expression that will be used to trigger an email. When creating the expression, select Email or Microsoft Teams from the list of Targets and then select the appropriate assignment group from the list.

Steps to Set up Email

  1. On the Manage tab, go to the Users form and make sure the appropriate users have a Company Email and/or an External Email assigned.
  2. On the DataXchange tab, go to the Messaging Templates form and create the email template.
  3. Go to the Messaging → Assignments form, create a new assignment, and assign the users to the template.
  4. From the same tab, go to the Expressions → Create Expressions form.
  5. Create the expression that will trigger the email. For the Target, select Email, then select the desired Email Template from the drop down.

Steps to Set up Teams Messages

  1. Add the DataXchange Connector in Microsoft Teams for each Channel you would like to receive messages.
  2. On the DataXchange tab, go to the Messaging Templates form and create the message template.
  3. Go to the Messaging → Assignments form, create a new assignment, select a Message Type of Microsoft Teams, and assign the channel connectors to the template.
  4. From the same tab, go to the Expressions → Create Expressions form.
  5. Create the expression that will trigger the message. For the Target, select Microsoft Teams, then select the desired Message Assignment from the drop down.

For Each Piece of Equipment That Should Send Messages

  1. From the DataXchange tab, go to Expressions → Assign Expressions.
  2. Select the machines that should send messages, select the expression, ensure Assign Selected Expressions is selected, and click Apply.

Steps to Setup Text Message Alerts

  1. Go to Manage → Users and make sure the appropriate users have their External Email assigned as their mobile phone number @ their ‘carrier.com’. For Example Verizon’s is ##########@vtext.com. Common carriers are listed below, or search the Internet for ’email to text’ for the needed carrier.
  2. On the DataXchange tab, go to the Messaging → Templates form and create the email template.
  3. Go to the Messaging → Assignments form and assign the users to the template.
  4. From the same tab, go to the Expressions → Create Expressions form.
  5. Create the expression that will trigger the email. For the Target, select Email, then select the Email Template from the drop down.

Use 10-digit phone numbers in the following email addresses:

  • AT&T: number@mms.att.net
  • T-Mobile: number@tmomail.net
  • Verizon: number@vtext.com (SMS limited to 160 chars) or
    number@vzwpix.com (MMS w/no limitations)
  • Sprint: number@messaging.sprintpcs.com or number@pm.sprint.com
